For enterprise technology companies, customer onboarding does not end when a product is deployed. The real challenge begins when users must understand complex applications, locate relevant information and become productive without repeatedly depending on support teams.
Comviva, a global mobility solutions provider and part of the Mahindra Group, faced precisely this challenge. With its solutions deployed across more than 130 mobile service providers and financial institutions in over 95 countries, the company manages a large and diverse global customer base.
Traditional onboarding required two to three days of training for each new customer and each product. Documentation was extensive but difficult to navigate, while creating video-based training content required as much as 30 to 40 hours per video.
Comviva turned to Whatfix to bring training, guidance and support directly into its applications.
The Cost of Complex Digital Experiences
Poor digital adoption can have a significant business impact. According to a Forrester Consulting study commissioned by Whatfix, a mid-sized enterprise with about 1,000 employees could lose an estimated $10.9 million annually because of ineffective digital adoption.
For Comviva, the challenge was particularly relevant on the customer-facing side.
The company typically provided several days of onboarding and training for each product. Customers also had access to a substantial documentation library, but finding the right information could require considerable time and effort.
Customer feedback highlighted the problem. Users increasingly wanted searchable documentation and video-based guidance rather than having to navigate lengthy collections of written material.
As Prema Vibhute, Manager of Technical Documentation and UX/UI at Comviva, put it, the relationship between customers and the application is central to the company’s success. When users have questions, she noted, answers need to be easy to find.
Moving Training Inside the Application
Comviva implemented Whatfix’s digital adoption platform to provide contextual, self-guided assistance directly within its products.
Instead of asking users to leave the application and search through external documentation, Comviva could provide guidance at the point where users needed it.
One of the key capabilities was Whatfix Flows. These enabled Comviva to create step-by-step walkthroughs that guide customers through product features and processes.
Smart Tips added another layer of contextual assistance. They provided relevant information within the application and helped users navigate tasks such as initial account setup and onboarding.
Comviva also introduced Self Help, a searchable menu positioned within the application interface. Users could access videos, how-to articles, training materials and other support resources without leaving the product.
The contextual nature of the system was particularly important. Rather than presenting users with an undifferentiated library of information, the experience could surface relevant content based on the user’s role and location within the application.
Faster Content Creation, Faster Customer Support
The implementation produced measurable improvements in Comviva’s training and support operations.
Previously, creating and publishing a training video could take between 30 and 40 hours. With Whatfix Flows, the process was reduced to less than eight hours.
Support content saw an even sharper improvement. Articles that previously required about 24 hours to write and publish could now be completed in under three hours.
Overall, Comviva achieved an 80% reduction in the time required to create customer training content and an 87.5% reduction in the time required to create and maintain knowledge and support content.
The changes also enabled customers to access support around the clock through self-service resources.
For Comviva’s internal teams, the benefits extended beyond productivity. Implementation engineers reported that creating and publishing training content became faster and easier. Customers, meanwhile, responded positively to guided Flows and on-demand access to support resources.
Security Was a Key Consideration
For a company serving telecom operators and financial institutions, data security was an important consideration when selecting a customer guidance solution.
Comviva therefore opted for Whatfix’s self-hosted deployment model. This allowed the company to integrate the solution into its products while addressing security requirements associated with its customer base.
The deployment also allowed Comviva to provide contextual assistance without relying solely on traditional cloud-based approaches to customer support and training.
From Documentation to Digital Experience
The Comviva case illustrates a broader shift in enterprise software.
Documentation traditionally exists outside an application. Users are expected to find the relevant manual, article or video and then translate those instructions into action.
A digital adoption platform changes that model by placing assistance within the workflow itself.
This approach can be particularly valuable for complex enterprise applications. Instead of requiring users to learn everything before using a product, contextual guidance can help them complete tasks as they encounter them.
For technology providers, that can also reduce pressure on implementation, training and support teams while making customer experiences more self-service oriented.
What Comes Next for Comviva
Comviva plans to expand its use of Whatfix across a broader portion of its product suite.
The company intends to incorporate additional training materials into the platform and further consolidate product documentation with in-app self-service support.
It also plans to use Task Lists alongside Flows and Self Help. The objective is to help ensure that users complete essential onboarding and training activities.
The company is also looking at in-app surveys and behavioural analytics. These capabilities can provide insights into how users interact with applications, where they encounter friction and which areas require additional guidance.
Such data can help Comviva determine which new Flows and support resources should be developed based on actual user behaviour rather than assumptions.

The Bigger Enterprise Technology Lesson
Comviva’s experience demonstrates that customer enablement is increasingly becoming part of the product experience itself.
The gains are not limited to faster content production. By bringing guidance and support into the application, enterprises can make information easier to discover, reduce dependence on support teams and give customers more control over how they learn.
For Comviva, the results are already tangible: training content can be produced substantially faster, support documentation requires far less effort, and customers can access contextual assistance whenever they need it.
As enterprise applications become more sophisticated, embedding guidance directly into the user experience could become an increasingly important component of successful digital transformation.
